Sustainable Office European Association (AISBL) is a young dynamic international
association for the office supply industry. We are unique on its own – and started in 2013
the first dialogues about the industry collaboration in building one system, one
methodology for the industry. Today we count 23 members represented by resellers and
manufacturers. Our ambition is to become the leading organization for sustainability for office supplies in the EU. It’s our goal to develop and continuously improve a scientifically approved assessment tool – acknowledged by the European Commission – for all manufacturers and resellers in the line of business of office supplies.
Our goal is to enable the B2B and B2C consumer to be informed about sustainable
performance of office products in one way regardless the country of sales within Europe:

1. Help the consumer making a more informed decision regarding sustainability
when selecting office products.
2. Support and encourage manufacturers to improve the sustainability profile of their
products.
3. Increase efficiency across the industry regarding sustainability data collection and
processing


We are based in Brussels & Venlo and we are looking for a temporarily colleague replacing a maternity leave. We are looking for a part-timer that will be sitting in the Venlo office max. 2 days a week starting from June/July to February 2019.
Your role We are looking for an enthusiastic, self-motivated, competent and responsible Office Assistant to perform a variety of administrative and supporting office tasks. You are wellversed in performance and operations management and competent in assuming
delegated duties. Duties of the Office Assistant include providing support to the Communication Manager and the Executive Management Team by assisting in general office administrative activities for the SOFEA location in Venlo, the Netherlands.
You will be supporting the Communication Manager and will be planning and monitoring
progress of the SOFEA projects.

Your responsibilities:
• Answer and direct phone calls;
• Organize, coordinate and schedule appointments;
• Book conference calls, rooms, hotels, travel arrangements etc.;
• Plan, take and distribute meeting minutes and action items;
• Write and distribute email, correspondence memos, letters, and forms;
• Create and (assist in the preparation) presentations and reports;
• Create the regularly scheduled newsletters;
• Update and maintain office policies and procedures;
• Update website and any other media channels;
• Maintain contact lists;
• Provide general support to members, customers etc.;
• Act as the point of contact for internal and external customers;
• Assist with arranging SOFEA events, meetings and represent the company when
needed;
• Assist with research and special projects;
• Work with the EMT to coordinate and supervise daily operations;
• Monitor achievements of objectives;
• Create PowerPoint presentations and submit them to the EMT or customers;
• Fulfill duties as assigned by the Executive Management Team;

Your profile:
• You are a starter,
Office Assistant experience is preferable;
• You can work highly independent and is self-motivated;
• You have hands-on mentality and can work under pressure;
• You have no problems in speaking to audiences;
• You have the capability to work with an international professional team;
• You master the English language well spoken and written; other languages French,
German is preferable;
• You have interest in sustainability;
• You possess strong working knowledge of MS Word, Excel, Power point as well as
good internet and e-mail skills;
• You have excellent time management skills and the ability to prioritize work;
• You have strong organizational skills with the ability to multi-task;
• You have attention to detail and strong problem solving skills;
• You are able to successfully communicate with all levels of management;
• You are discrete with sensitive information;
• You are willing and able to work additional or flexible hours when needed.

Your role

  • You can work highly independent and is self-motivated;

  • You have interest in the office supply industry; 
  • You will be travelling (for research); 
  • You are eager to learn more in Sustainability and are creative to come up with new ideas;
  • You have a passion to book results and dares to think about our positioning and profiling of SOFEA;
